Terms & Conditions of Stay

Effective Date: March 20, 2022

Welcome to Rapid City RV Park & Campground! Our goal is to provide every guest with a safe, clean, comfortable, and enjoyable camping experience.

These Terms & Conditions apply to every reservation, guest, visitor, occupant, pet owner, and vehicle entering the property.

Agreement to Terms

BY MAKING A RESERVATION, SUBMITTING PAYMENT, CHECKING IN, ENTERING THE PROPERTY, OCCUPYING A SITE, CABIN, HOTEL ROOM, OR OTHER ACCOMMODATION, OR ALLOWING ANY MEMBER OF YOUR PARTY OR VISITOR TO ENTER THE PROPERTY, YOU ACKNOWLEDGE THAT YOU HAVE READ, UNDERSTOOD, AND AGREE TO BE BOUND BY THESE TERMS & CONDITIONS.

Failure to comply with these policies may result in immediate removal from the property without refund.

1. Reservations & Payments

Reservations are not guaranteed until payment has been received.

Guests are responsible for ensuring reservation information is accurate.

Rates, site assignments, and accommodations are subject to change when necessary due to operational requirements.

Management reserves the right to refuse or cancel reservations at its discretion, subject to applicable law.

2. Check-In & Check-Out

We understand that travel plans don't always go as expected. If you anticipate arriving early or departing later than our standard times, please contact the front office in advance. We are happy to discuss your circumstances and will do our best to accommodate your request based on availability, staffing, housekeeping schedules, and operational needs. Early check-in and late check-out requests are not guaranteed and may be subject to additional fees.

RV & Tent Sites

Check-In: 12:00 PM
Check-Out: 11:00 AM

Cabins & Hotel Rooms

Check-In: 2:00 PM
Check-Out: 11:00 AM

Guests who remain on their site or in their accommodation beyond the scheduled check-out time without prior approval may be subject to additional charges, including an additional night's stay if applicable.

Please verify your reservation details upon arrival and notify the front office immediately if any corrections are needed.

3. Standard Cancellation Policy

Reservations cancelled 48 hours or more before arrival will receive a refund less a $20 processing fee.

Reservations cancelled within 48 hours of arrival will forfeit 50% of the total reservation amount.

No refunds are provided for:

Early departures
Shortened stays
No-shows
Weather
Rule violations
Removal from the campground

4. Sturgis Rally / Bike Week Policy

Due to the limited availability during Sturgis Rally:

A minimum three-night deposit is required.
Cancellations 31 days or more before arrival receive a refund less a $20 processing fee.
Cancellations made 30 days through 73 hours prior to arrival forfeit 50% of the reservation.
Cancellations made 72 hours or less before arrival forfeit 100% of all payments received.
No refunds are given for shortened stays, early departures, or no-shows.

5. Quiet Hours

Quiet Hours are observed daily from:

10:00 PM – 7:00 AM

During Quiet Hours guests shall:

Keep music, televisions, radios, and voices at respectful levels.
Operate motorcycles and vehicles quietly.
Avoid disruptive gatherings.

Management has sole discretion in determining excessive noise.

6. Visitors

Registered guests are responsible for all visitors.

Visitors:

Must register with the office upon arrival.
Must follow all campground rules.
May be charged visitor fees.
Must depart by Quiet Hours unless approved by management.

Visitors use campground facilities at their own risk.

7. General Park Rules

Guests shall:

Respect neighboring campsites.
Keep campsites clean.
Dispose of trash properly.
Follow all posted signs.
Report maintenance or safety concerns immediately.

The following are prohibited:

Disorderly conduct
Fighting
Harassment
Illegal activity
Public intoxication
Offensive behavior
Offensive clothing
Loud profanity

Police response to a campsite may result in immediate eviction without refund.

8. RV Sites

Guests must:

Keep the site clean.
Stay within site boundaries.
Remove all trash.
Pick up pet waste immediately.

One clothesline is permitted.

One additional tent is permitted with management approval and applicable fees.

A $25 cleaning fee may be assessed for excessive trash or pet waste.

9. Tent Sites

Each campsite includes:

One tent
One vehicle

A second tent may be added for the current posted fee.

Maximum stay is seven consecutive days unless approved by management.

Campers use the community bathhouse.

10. Cabins

Guests must provide:

Bedding
Pillows
Towels

Cabins utilize the community bathhouse.

Smoking or vaping is prohibited.

Violations are subject to:

$100 smoking fee
Cleaning fees
Damage charges
Repair costs

11. Hotel Rooms

Smoking or vaping is prohibited.

Guests are responsible for excessive cleaning and damage.

Minimum fees:

Smoking: $100
Damage: $100 plus repair costs if necessary.

12. Pets

Pets are welcome with management approval.

Aggressive animals are prohibited.

Pets must:

Remain on a leash no longer than six feet.
Never be left unattended outside.
Remain out of the pool enclosure.
Be cleaned up after immediately.

Vaccination records must be available upon request.

Any pet bite, attack, or threatening behavior will result in immediate removal without refund.

Management reserves the right to refuse any animal considered unsafe.

13. Vehicles

Maximum speed:

8 MPH

Guests may not:

Drive on grass
Park on vacant sites
Drive through vacant campsites

Vehicles must remain within assigned sites.

Vehicle maintenance requires management approval.

Oversized vehicles must park where directed.

Motorcycles must be operated quietly.

14. Children

Parents and guardians are responsible for supervising minors.

Children under 12 must be accompanied by an adult.

Parents are financially responsible for damages caused by their children.

15. Pool Rules

NO LIFEGUARD ON DUTY

Guests swim at their own risk.

Children under 14 must be accompanied by an adult.

Prohibited inside the pool enclosure:

Glass
Smoking
Vaping
Pets
Diving
Running
Water balloons
Barbecue grills

Proper swim attire and swim diapers are required.

16. Campfires

Campfires are permitted only when local fire restrictions allow.

Fires:

Must remain under three feet high.
Must never be left unattended.
Must be completely extinguished before leaving.

Hot ashes may not be placed in dumpsters.

17. Smoking & Alcohol

Smoking and vaping are prohibited:

Inside cabins
Inside hotel rooms
Pool area
Within 20 feet of any building

Dispose of cigarette waste properly.

Alcohol must be consumed responsibly and in accordance with applicable law.

18. Sewer & Water Connections

Guests are responsible for leak-free water and sewer hookups.

Sewer hoses must use approved connectors in accordance with South Dakota law.

Guests are responsible for damage caused by improper hookups.

19. Illegal Dumping

Do not dispose of:

Tires
Mattresses
Furniture
Toilets
Construction debris
Awnings
Large cardboard quantities

Minimum disposal fee: $20

Illegal dumping fine: $100 plus disposal costs.

20. WiFi

WiFi is provided as a courtesy.

Service is not guaranteed.

Repeaters, boosters, and amplifiers are prohibited.

21. Firearms, Fireworks & Dangerous Items

Fireworks are prohibited.

Guests possessing firearms or other lawful weapons must comply with all federal, state, and local laws.

Unsafe handling of any weapon is grounds for immediate removal.

22. Damage & Cleaning Charges

Guests accept responsibility for damage caused by themselves, their party, pets, or visitors.

The campground may charge the payment method on file for:

Damage
Missing property
Excessive cleaning
Smoking violations
Pet cleanup
Unpaid balances
Rule violation fees

Charges are not limited to the minimum fees listed and may include actual repair or replacement costs.

23. Chargeback Policy

Guests agree to contact campground management before initiating a credit card dispute.

Improper or fraudulent chargebacks may result in collection activity, cancellation of future reservations, and recovery of costs permitted by law.

24. Weather & Force Majeure

Rapid City RV Park & Campground shall not be responsible for interruptions caused by:

Weather
Flooding
Wildfires
Smoke
Snow
Wind
Utility outages
Internet outages
Government orders
Road closures
Public emergencies
Acts of God
Other events beyond management's reasonable control.

Refunds will only be provided where required by law.

25. Emergency Situations

Guests must follow all directions given by campground staff, emergency responders, or law enforcement.

Management may evacuate, relocate, or temporarily close portions of the campground when necessary.

26. Lost & Found

Rapid City RV Park & Campground is not responsible for lost, stolen, or abandoned property.

Unclaimed property may be discarded, donated, or otherwise disposed of after 30 days.

Shipping is available at the owner's expense.

27. Security Cameras

For the safety of guests and staff, common areas may be monitored by video surveillance.

Guests have no expectation of privacy in public or shared areas of the campground.

28. Right to Refuse Service

Management reserves the right to refuse service, cancel reservations, or remove any guest without refund for:

Rule violations
Non-payment
Illegal activity
Unsafe behavior
Harassment
Property damage
Excessive disturbances
False reservation information

Management decisions regarding guest removal are final.

29. Limitation of Liability

Guests use the campground and all facilities entirely at their own risk.

To the fullest extent permitted by law, Rapid City RV Park & Campground, its owners, employees, contractors, and agents shall not be liable for loss of property, theft, vehicle or RV damage, utility interruptions, internet outages, weather-related damage, falling trees or limbs, wildlife encounters, recreational accidents, or personal injury except where caused by gross negligence or where liability cannot legally be waived.

Guests agree to indemnify and hold harmless Rapid City RV Park & Campground from claims arising from the actions or negligence of themselves, members of their party, pets, or visitors.

30. Winter RV Camping Agreement (October 1 – May 31)

Amenities Included

Water
Sewer
Electric
WiFi
Pull-through site
Snow removal when necessary

Closed during winter:

Bathhouse
Laundry
Gift Shop

Rates

$750/month plus applicable taxes
30-day minimum stay
Credit card required on file
Deposit: 50% of first month's rent

Deposits become non-refundable if cancelled within two weeks of arrival.

Winter Water Policy

When temperatures fall below 50°F, guests must disconnect water hoses after filling tanks.

Emergency assistance:

First two assists: No charge
Additional assists: $20 each

Guests are responsible for hydrant damage.

Minimum repair charge: $1,000 or the actual repair cost, whichever is greater as permitted by law.

Winter Occupancy

Winter occupancy does not establish residency or tenancy rights.

Management may terminate occupancy for rule violations.

All campground rules remain in effect.

31. Compliance with Laws

Guests shall comply with all applicable federal, state, county, and local laws, fire restrictions, health regulations, and campground policies.

32. Governing Law

These Terms & Conditions shall be governed by the laws of the State of South Dakota.

Any legal action relating to these Terms shall be brought in the appropriate court located in Pennington County, South Dakota, unless otherwise required by law.

33. Severability

If any provision of these Terms & Conditions is found unenforceable, the remaining provisions shall remain in full force and effect.

34. Entire Agreement

These Terms & Conditions, together with your reservation confirmation, posted campground rules, fee schedule, and applicable policies, constitute the entire agreement between Rapid City RV Park & Campground and the guest.

35. Acceptance

BY COMPLETING A RESERVATION, SUBMITTING PAYMENT, CHECKING IN, ENTERING THE PROPERTY, OCCUPYING ANY SITE OR ACCOMMODATION, OR REMAINING ON THE PROPERTY, YOU ACKNOWLEDGE THAT YOU HAVE READ, UNDERSTOOD, AND AGREE TO THESE TERMS & CONDITIONS.

FAILURE TO COMPLY WITH THESE TERMS MAY RESULT IN IMMEDIATE REMOVAL FROM THE PROPERTY WITHOUT REFUND.
